Replacing Word invoices with a dealership management system

What we learned building a DMS inside a working motorcycle dealership — from paper to production.


When we started working with TMR Trading Lanka, invoicing was a 25-minute manual process. A salesperson would pull a paper form, fill in customer details by hand, look up bike model prices from a printed price list, calculate taxes manually, and hand-write the invoice. If they made an arithmetic error — common under pressure — they'd scratch it out or start over.

The dealership was processing dozens of these a day. The principal had no real-time view of sales. Stock was tracked on a whiteboard. Customer records lived in individual salespeople's notebooks.

We knew a generic ERP off the shelf wouldn't work. Dealerships have specific workflows: advances convert to final sales, insurance quotations need to attach to bills, warranty claims need bilingual Sinhala/English PDFs, and compliance requires encrypted customer data storage.

The first version shipped in three months. Not because we moved fast — because we sat inside the dealership, watched salespeople work, and built exactly what they needed. The bill creation flow was redesigned three times based on watching someone use it.

The lesson: software for small businesses works when it fits the workflow, not when it forces a new one.
